Transition Plan for Departmental Accounts from Google to Microsoft

UTC will be transitioning to Microsoft as the primary university-wide platform for collaboration and productivity tools, reducing the use of Google services on campus. This change aims to provide a consistent experience, enhance security and privacy, and manage costs more effectively.

How to Prepare

This change will take time, but you can begin preparing for the transition now by taking the following steps:

  1. October 2025 – January 2027
    1. Identify where you are using Google services in your daily work.
    2. Explore using Microsoft 365 services for departmental functions.
  2. May 2026 – August 2028
    1. Clean up your Google Drive by deleting files you no longer need.
    2. Clean up your Gmail account by deleting old emails that you no longer need.
    3. Stay tuned for more information from Information Technology about future dates for migrating your departmental account to Microsoft 365. 

We plan to conduct consultations with each department, that is currently using Google for departmental functions beyond the classroom, to assist with evaluating the best place for items to transition.  These consultations will be scheduled during March 2026 to July 2026.

Specific Google Services:

We understand that Google provides more than just Gmail and Drive.  This means that there may be specific services that are being used by your department that may not have an equivalent service with Microsoft 365.  The Information Technology department will be sending out a survey to faculty and department accounts in October 2025 to assist us with evaluating which services may still be needed in Google going forward.
