DASH Step: How to Set Up Delegates

On January 6, 2025, DASH will replace IRIS in the UT system to house and streamline various business processes on campus.

This document will help you figure out how to:

 

Setting up Delegates for Vacation Period Approvals (Using Oracle BPM Worklist)

To assign a delegate first go to the home page by clicking the house icon and then select the notifications (bell) next to the user profile in the upper right-hand corner.

After clicking the notification icon, select Show All to show all the notifications

Then click on Worklist

After clicking on the Worklist, then select the dropdown arrow next to your name and then select Preferences.

After you click on Preferences, you will be brought to a screen to enter your vacation period. Follow these steps to set up your delegate:

  1. Enable vacation period by checking the box that says Enable vacation period
  2. Choose your Start Date for the starting day you would like your delegate to be set up or the day you plan to go on vacation.
  3. Select an End Date
  4. Choose either to reassign to another user (or group if you are in one) or choose to delegate (see below for how to add a user)
    1. Reassign – to reassign all notifications to another user/group (you will not receive notifications for this period)
    2. Delegate – to delegate or give all notifications to another user (but you will still receive notifications along with the specified user)

To add a user, click on the magnifying glass next to the type you choose. From here you will be able to enter a user in. To select a user:

  1. Select Advanced
  2. Type their first and last name (or their UTC ID if you know it)
  3. Click Search
  4. Select the correct person
  5. Click Ok to save your changes

Once you click Ok to save your changes, click Save in the top right corner to save your vacation period delegate/reassignment.

Your delegate/reassignment is now saved.

How to verify Vacation Delegate

To ensure Delegates are set up properly. Follow these instructions:

  1. Go home if you have not done so already by clicking on the house logo.
  2. Next, under the Me tab, click on Roles and Delegations

  1. After clicking on Roles and Delegations, scroll to the bottom of the page to find the sections labeled, Role Delegations and Approval Delegations.
  2. To verify if you have successfully set up your vacation delegate, click the dropdown arrow under the tab Approval Delegations to see your current approval delegates.
  3. If the Delegate is not there, you can click on the green +Add button to add the approval delegation. If you get an error stating, you will need to add the user through the BPM Worklist. Please follow the section above on “Setting up Delegates for Vacation Period Approvals (Using Oracle BPM Worklist)”

 

How to Add a Role Delegate

To add a role delegate, follow these instructions:

  1. Go home if you have not done so already by clicking on the house logo
  2. Next, under the Me tab, click on Roles and Delegations

  1. After clicking on Roles and Delegations, scroll to the bottom of the page to find the sections labeled, Role Delegations and Approval Delegations.
  2. Once you scroll down ou then can select the green +Add button to add role delegations.

  1. After clicking the green +Add button, you will then be able to type in the necessary information to select your delegate.
  2. After you have entered all the information, click the Save button to save your changes

How to Edit/Delete a Delegate

To edit or delete a Delegate follow these instructions: 

  1. Go home if you have not done so already by clicking on the house logo
  2. Next, under the Me tab, click on Roles and Delegations

  1. After clicking on Roles and Delegations, scroll to the bottom of the page to find the sections labeled, Role Delegations and Approval Delegations.
  2. Next, find the rule you wish to edit/delete and click on the Pencil Icon next to it to edit it.

     5. If you wish to delete the rule, click the Delete button, otherwise if you are making an edit, select Save once your changes have been completed.
