Important Human Resources Cutoff Dates

Summary

Cutover is the time during which operations will cease in IRIS and resume in DASH. Please take the time to familiarize yourself with the HR cutover dates.

As we approach the DASH Implementation and Go-Live, the Office of Human Resources would like to emphasize important upcoming DASH implementation dates and information.  

DASH Cutover Dates for HR Activities:  

Cutover is the time during which operations will cease in IRIS and resume in DASH. During cutover activities, UT data is loaded into DASH and the DASH Production environment is enabled.   

December 3, 2024 has been identified as the date most IRIS transactions should cease in anticipation of the transition to DASH on January 6, 2025.                                                                      

Please review the complete list of IRIS Cutover Dates published on the Friends of DASH website. Cutover dates specific to Human Resources functions have been reiterated below. 


General Summary of HR Cutover Dates:

December 3, 2024 has been identified as the date most transactions in IRIS should cease in anticipation of the transition to DASH on January 6, 2025.   

Due by December 3:

  • Last date to post new faculty or staff job postings in Taleo  (Employees hired after December 3 will need to be inputted manually)
  • Last date for processing the Student Hire E-Form, IRIS transaction ZHR_STUDENT_HIRE, for hiring/rehiring undergraduate student workers.
  • Last date to complete IRIS workflow approvals for all existing position classification or employee compensation changes. 
  • Last date to complete IRIS workflow approvals for all new position classifications.   
  • Last date to complete IRIS workflow approval for all terminations with implementation dates through December 31, 2024.

Due by December 13:

  • Last date for Leaves of Absence to be entered in IRIS for conversion to DASH.
  • Last date for exempt (monthly) employees to enter leave taken in November and December in IRIS. 
  • Last day to complete IRIS workflow approvals for additional pay.
  • Last date for OID submissions to be initiated in IRIS.

Due by December 16:

  • Last date to enter and approve bi-weekly time in IRIS for pay period ending December 15, 2024.

  •  Last date to receive new applications for faculty or staff positions posted in Taleo (will be reopened in Interfolio on January 6, 2025).
  •  All adjunct faculty job postings will be closed in Taleo.

Due by December 20:

  • Last date for supervisors to approve 2024 OID Forms in IRIS.  (Annual OID certifications will begin in DASH in September 2025).

Due by December 30:

  • Last date to enter and approve bi-weekly time in IRIS for pay period ending December 29, 2024.

Due by March 31:

  •  Last date to complete an existing faculty or staff search in Taleo

Recruitment and Hiring:  

  • December 3, 2024:  Last date to post new faculty or staff job postings in Taleo  

  • December 18, 2024:  Last date to receive new applications for faculty or staff positions posted in Taleo  

  • March 31, 2025:  Last date to complete an existing faculty or staff search in Taleo  

Future dated hires can be entered into IRIS and will be converted to DASH.   

For employees hired after December 3, duplicate manual entry will be required – first in IRIS to ensure their information is entered for payroll, and then in DASH after the January 6 Go-Live.  HR will initiate any duplicate manual entry of transactions in DASH.   

HR will work with IT to manually establish e-mail and UT systems access for employees hired between December 3 – January 6.  

Staff Searches : 

  • Requisitions received after December 3, 2024 will be posted in DASH at go-live on January 6, 2025.  

  • Hiring officials and search committees may continue to conduct interviews and fill existing searches in Taleo until March 31, 2025.  

  • HR will be consulting with hiring officials for current Taleo requisitions to determine whether they will move forward to fill in Taleo or cancel search and reopen in DASH on January 6. 2025.  

  • Any existing searches that will not be filled in Taleo will be automatically reposted by HR in DASH.  New position requests will not be required.  

Faculty Searches:  
  • HR will be consulting with hiring officials for current faculty requisitions in Taleo to determine whether they will move forward to fill or cancel existing faculty searches as we approach DASH transition dates.   

  • Any existing faculty searches that will not be filled in Taleo will be automatically reposted by HR in DASH.  New position requests will not be required.  

  • All adjunct faculty job postings will be closed in Taleo on December 18, 2024 and reopened in Interfolio on January 6, 2025.  New position requests will not be required.  Adjunct postings will be automatically reposted by HR in Interfolio.  

  • New faculty searches beginning on or after January 6, 2025 will be initiated by the hiring department in Interfolio.  Training will be provided in December 2024 and January 2025.  

Student, Graduate Assistant, and Temporary Employee Hiring:  
  • December 3, 2024: Last date for processing the Student Hire E-Form, IRIS transaction ZHR_STUDENT_HIRE, for hiring/rehiring undergraduate student workers.  

  • Students, Graduate Assistants, Temporary and Adjunct hires after December 3, 2024 will need to be hired in DASH.  


Compensation   

Position Classification / Employee Compensation Requests for Current Employees  
  • All staff position classification or compensation review requests will continue to be initiated with the Compensation Administration team through the Service Request Form.  

  • December 3, 2024: Last date to complete IRIS workflow approvals for all existing position classification or employee compensation changes.   

  • Last day to complete IRIS workflow approvals for additional pay.

  • Position classification or employee compensation changes initiated or finalized after December 3 must be entered in DASH on January 6, 2025.  

 

Position Classification Requests for New Positions:  
  • All staff position classification requests will continue to be initiated with the Compensation Administration team through the Service Request Form.  

  • December 3, 2024: Last date to complete IRIS workflow approvals for all new position classifications.    

  • New staff position requests initiated or finalized after December 3 must be entered in DASH on January 6, 2025.

Leave and Absence Management / Terminations:  
  • December 3, 2024: Last date to complete IRIS workflow approval for all terminations with effective dates through December 31, 2024.  

  • December 13, 2024: Last date for Leaves of Absence to be entered in IRIS for conversion to DASH.  

  • December 13, 2024: Last date for exempt (monthly) employees to enter leave taken in November and December in IRIS.   

  

Bi-Weekly Time Entry and Approval:   
  • December 16, 2024: Last date to enter or approve bi-weekly time in IRIS for pay period ending December 15, 2024.  

  • December 30, 2024: Last date to enter or approve bi-weekly time in IRIS for pay period ending December 29, 2024.  

  • January 6, 2025: First date for bi-weekly employees to enter time in DASH for pay period beginning December 30, 2024.  


Outside Interest Disclosures  

  • December 13, 2024: Last date for OID submissions to be initiated in IRIS.   

  • December 20, 2024: Last date for supervisors to approve 2024 OID Forms in IRIS.   

Annual OID certifications will begin in DASH in September 2025.  


Performance Management  

All staff performance reviews for the 2024 calendar year will be completed in DASH, via an online form with workflow approval functionality. The online evaluation forms will be available at DASH Go-live on January 6, 2025. The UTC Office of Human Resources will share training and resources related to this new process once materials are made available for distribution.  

Other known updates to the staff evaluation form for the 2024 review period include the following:  

  • The “Inclusion, Diversity, and Engagement” performance key element will be replaced with the previous key element of “Adaptability and Flexibility.”  

  • The rating options available for assessing each key performance element will be replaced with the following choices:  

  • Distinguished Performance and Role Model Status  

  • Superior/Highly Effective Performance  

  • Fully Successful/Effective Performance  

  • Partially Successful Performance/Needs Improvement  

  • Unsuccessful/Unacceptable Performance
