DASH Step Guide: Enter, Edit, and Approve Timecards

Starting January 6, 2025, DASH has replaced IRIS in the UT system to house and streamline certain finance, human resources, and payroll processes.

This article aims to provide instructions for managers on how to enter, approve, and manage timecards for their employees in DASH. Use the links below for quick navigation:

Getting Started

  1. Navigate to the DASH home screen.
  2. Click on the My Client Groups Tab. Note: This tab is only available to people in certain positions.

 

Enter Time on Behalf of Employees

  1. Follow the instructions in the “Getting Started” section to navigate to the My Client Groups tab.
  2. Under the Quick Actions menu on the left side, scroll to the bottom and click Show More.

  1. Under the Time section, select Add Other Time Card.

  1. Enter the employee’s name or person number in the search bar to search for the employee. Tip: When searching for the employee using the person number, make sure to include the two leading zeros.

  1. Click on the name of the employee in the search results.

  1. Choose a date in the Date field. The timecard period will auto-populate based on the selected date. Click Add.

  1. Make sure the value in the Position | Position Name field is correct. This is especially important if the employee holds multiple positions. Double-click the field to activate the dropdown menu and make changes if needed.

  1. Double-click the Payroll Time Types field and choose the correct payroll time type from the dropdown menu.

  1. Enter the number of working hours into the Quantity field for each date in the same row.

  1. Repeat steps 7-9 to add additional payroll time types in the rows below if needed.
  2. If you plan to make additional changes to this timecard, click Save.

  1. If you have entered all the time for the employee, click the Actions button and select Submit. The timecard needs to be submitted before you or anyone else can approve it.

 

Edit Timecards on Behalf of Employees

  1. Follow the instructions in the “Getting Started” section to navigate to the My Client Groups tab.
  2. Under the Quick Actions menu, scroll down to the bottom and select Show More.

  1. Under the Time section, select Team Time Cards.

  1. Enter the employee’s name or person number in the search bar to search for the employee. Tip: When searching for the employee using the person number, make sure to include the two leading zeros.

  1. Specify the date range with the Dated Range filter. You will see the employee’s timecards within that range.

  1. Locate the timecard you want to edit. Click on its Period Start Date to open the timecard.

  1. Make changes to the timecard.
  2. Once you have made all changes to the timecard, click the Actions button in the right upper corner and select Submit.

  1. Select the appropriate reason for change and click Submit Time Card.

 

Approve Timecards for Employees

  1. Follow the instructions in the “Getting Started” section to navigate to the My Client Groups tab.
  2. Under the Quick Actions menu, scroll down to the bottom and select Show More.

  1. Under the Time section, select Team Time Cards.

  1. Enter the employee’s name or person number in the search bar to search for the employee. Tip: When searching for the employee using the person number, make sure to include the two leading zeros.

  1. Specify the date range with the Dated Range filter. You will see the employee’s timecards within that range.

  1. Locate the timecard you want to edit. Click on its Period Start Date to open the timecard.

  1. Click on the Approve button at the right upper corner to approve the timecard.​​​​​​​ Note: A timecard needs to be submitted first before it can be approved. The Approve button will be disabled for timecards that are entered but not submitted.
