DASH Go-Live - 60 Day Checklist


The University of Tennessee is transitioning to a new, cloud-based enterprise resource planning (ERP) system, known as DASH (Dynamic Administrative Systems for Higher Ed) that will Go-Live on January 6, 2025. DASH will replace the current SAP platform, known internally as IRIS, along with other related platforms and systems to include finance, human resources, and payroll functionality, with a limited deployment of facilities maintenance at UTK and UTHSC. This checklist provides key actions and information to prepare you for the transition.

General To-Do:

Please complete the following tasks to ensure you are ready for the DASH Transformation Go-Live!

  • Prepare for Cutover
  • Complete Training Courses and Activities
  • Attend DASH Meetings & Review Recordings

Prepare for Cutover:

Cutover is the time during which operations will cease in IRIS and resume in DASH. Detailed information about this period is available on the Cutover Hub. As you review, be aware of upcoming cutover dates, such as:

Due by December 3:

  • Complete any manager and department approver-level HR approvals (e.g., transfers, terminations) in IRIS by December 3
  • Manage employee related changes (e.g., personal information, organizations or position changes) in IRIS by December 3

Due by December 13:

  • Submit November and December 2024 leave requests in ESS (Employee Self-Service) by December 13

Due by December 20:

  • Complete your annual Outside Interest Disclosure (OID) for by December 13 and print for future reference if needed; supervisor approval must be completed by December 20

Due by December 30:

  • Enter time in IRIS by December 30
  • Ensure that you will receive your 2024 W-2 form by mail by verifying your mailing address within IRIS by December 30

*Non-Exempt Workers and Timekeepers may have additional submission and approval dates.


Complete Training Courses and Activities:

In preparation for Go-Live, familiarize yourself with the following training courses and activities:

  • Visit the Training Hub on Friends of DASH for other training-related information
  • Access the K@TE Learning Management System to complete available trainings, which are linked along with other DASH training resources on the Training Opportunities page
  • Download your training history report from the IRIS Web Portal, using this Knowledge Base article for instructions

Attend DASH Meetings & Review Recordings:

Ahead of Go-Live, we are offering additional Town Hall and Office sessions. Be sure to:

  • Register for a business readiness-focused DASH Office Hours on November 18 at 2:00 PM, ET
  • Prepare to attend the "What to Expect on Go-Live Day" Town Hall on December 3 at 1:00 PM, ET
  • Review the application-specific Business Readiness Town Hall recordings from October 29 for more cutover information along with previous DASH Office Hours and end-to-end Demo Sessions for HCM, ERP, and OMC

As you prepare for Go-Live, there are several resources available on the Friends of DASH website. Please be sure to review the following:

Access the Hub Central:

Access the Hub Central for an overview of each DASH process area. You can leverage the Employee and Manager Self-Service Hub to understand your critical actions in DASH. There are also hubs available for ERP, HCM, and OMC!


Visit the Training Hub:

Visit the Training Hub to review additional training information, including the DASH training approach and an overview of training modalities such as Oracle Guided Learning (OGL), which will provide in-application resources for DASH.


Attend DASH Meetings & Review Recordings:

Discover important IRIS-to-DASH dates on the Cutover Hub. You can also learn more about retiring applications via the Knowledge Base.


Review DASH Lingo:

Review important system, project, and cutover terminology on the DASH Lingo page.
