New Hires: IT Onboarding Checklist for Departments

Overview 

New hires in your department may need a variety of technology resources. This checklist is intended as a guide to help you prepare before your new hire arrives.

We recommend starting this process at least two weeks before your new hire's start date to allow time for processing and setup.

Checklist

1) UTCID and Email Provisioning

The process for creating your new hire's UTCID will begin once they have been fully entered into DASH as a hire or pending employee and any DASH work flow steps completed.  For assistance with DASH and the hiring process, please visit the following:

UTC will receive the hire record from DASH the morning after it has been fully approved.  At this time, please allow at least three business days for the account to be ready for the employee to set their password and access O365 for email.  Many resources, such as Adobe and O365 Desktop apps, may not be available until your employee's start date has arrived.  

** Note:  Employees listed as "Contingent Workers" in DASH will only be able to set a password and access DASH for any expense item once their UTCID has been created.** If your new hire is currently listed as a Guest Traveler or another type of Contingent Worker, please work with HR on any next steps needed for us to create the account.

The UT Directory or DASH is an quick place to look up an employee's NetID and primary email address. 

2) Computer Equipment

As you prepare for your new employee's arrival, Information Technology is here to help you with transitioning existing equipment over to a new user or ordering new equipment.  We recommend putting in any requests for computer equipment as soon as possible to allow for processing time.

If you plan to provide the new hire with a computer that you already have on hand in the department, you will need to notify IT of the move so that we can prepare the device for its new owner.

Notifying the IT department of any computer transitions between staff will allow us to maintain accurate records, grant access, and track devices eligible for the computer refresh program.

3) Phones

If your new employee will need access to a campus phone and voicemail, you will need to submit a request to transition an existing line or to request a new phone line.  Our phone services requests are available at https://utc.teamdynamix.com/TDClient/2717/Portal/Requests/ServiceCatalog?CategoryID=17755

4) Door Access

Employees may need access to specific buildings or rooms as part of their responsibilities in your department.  Many doors on campus are equipped with electronic locks that can be accessed using a MocsCard.  If there is a building or room that your employees will need electronic "tap" access to, we ask that you complete the following:
