This change aims to provide a consistent experience, enhance security and privacy, and manage costs more effectively.

When will my mailbox content (emails, calendar, contacts) be migrated from Gmail to Outlook?
To assist with consolidating faculty and staff email and calendaring into one location, we have put together an FAQ on mailbox migration options below. We are running weekly batches of migrations between April and September to provide you time for any mailbox cleanup or organization. Please see your email for notices about signing up for a migration date.
Once your mailbox content has been migrated, access to just the Gmail app will be removed 30 days later.
Where will students check their email?
New Students accepted for Fall 2026 and forward were transitioned over to Microsoft only beginning in March 2026. They will only have access to Outlook and any UTC Google account that may have existed has been disabled.
Returning Students who were enrolled in Spring or Summer 2026 are being transitioned over to Outlook as their email platform. Migration of mailbox content (emails, calendar, contacts) for batches of accounts have been conducted each week since April 2026. Once their email has been migrated, access to the Gmail app is removed 14 days later. All students who were enrolled in Spring or Summer 2026 and returning for Fall 2026, are expected to by migrated over to Outlook for email before Fall classes begin in August 2026.
If a student is unsure about where to access their email, please have them check MyMocsNet for updated information or contact our Migration team for assistance.
Accounts for prior students who have graduated or left UTC in the last 12 months will continue to be on Google until access to the account expires or they re-apply/enroll at UTC.
What happens if I send an email from my Google account?
The email will deliver, but any replies to the message will be received in your Outlook account. We recommend moving over to Outlook for sending and receiving all email and calendar invites.
Do I need to migrate from Drive yet?
Not at this time for files used by you or your department. The project phase for migration of content from Google Drive to Microsoft OneDrive will be scheduled for a later date, with tentative plans for it to begin in 2027.
However, since new students will only have Microsoft accounts, we recommend going ahead and moving classroom related items over to Microsoft when possible. If you would like to move items now and need assistance, please reach out to our Migration team.
What do I need to do if I no longer need my Google Account or email migrated from Gmail?
If you do not need any prior emails that were sent to your Google account, please complete the migration form and select "No Migration Needed.
If you no longer need your Google account at all, please let us know so we can decommission it.

All faculty, staff, and students have access to Microsoft services. Go to https://office.com to get started. You can save files to your OneDrive, use the online web apps to create new documents, spreadsheets, and presentations, create Teams for collaboration, create Surveys to collect information, and more.

Will you move my email, calendar, and contacts?
Yes. Once we have updated email delivery on March 18, we will be reaching out to you to schedule a time to migrate items from your Gmail account to Outlook. This migration phase of the project is designed to give you adequate time to label or organize any items in your Gmail mailbox that you would like to migrate. We plan to conduct weekly migration batches between May and September 2026.
You will be able to continue to view your Gmail mailbox for at least 30 days after we migrate any content for you.
Is there anything I need to know about the Gmail migration to Outlook?
During the migration, UTC IT will copy your email and calendar from Gmail to Outlook. Here are a few limitations to the migration:
Please note that you will see duplicate emails in Outlook due to differences between the two systems and how messages are routed. Unfortunately, this is expected and may need to be cleaned up manually.

How will emails with multiple labels in Gmail be organized in Outlook?
The migration tool will copy the message to each corresponding folder in Outlook.
Will there be a folder for each combination of labels?
No. 1 Gmail label = 1 Outlook folder.
Do labeled email threads containing multiple emails all appear grouped in the same folder in Outlook?
An Outlook folder will be created for each label, and messages will be copied to each corresponding folder.
Will email drafts be copied?
Will my archived emails be copied? Will they be in their own "archive" folder?
If a message does not have a label, it will not be migrated. Microsoft recommends assigning all important archived messages at least one label.
What happens to messages in my Gmail inbox?
Any message in your Gmail inbox will be copied to your Outlook Inbox folder. If you do not want certain messages to appear in your Outlook Inbox, please archive those messages in Gmail before your scheduled migration date.
Will messages in Trash be migrated?
Yes. Messages in the Gmail Trash folder will be copied to the Outlook Trash folder. If you do not want Trash items to be migrated, empty the Trash folder in Gmail before your scheduled migration date.
March 18, 2026 Move to Microsoft Outlook for email and calendaring:
During Spring Break on Wednesday, March 18, 2026, Information Technology will be updating the configuration for email delivery in Google to route all email to Outlook. This change will impact faculty and staff with Google accounts by delivering all future emails sent to their mocs.utc.edu email address to their Outlook account instead of Google.

Yes. You will still be able to log into your mocs.utc.edu Google account to view any emails or calendar items from before March 18.
Will my existing or archived emails be migrated to O365?
