This article with cover all of the details of when UTC accounts expire after a leave date. UTC accounts do expire in different ways depending on your status with the university (example: student, employed, or affiliated). Please read the information carefully below.

Overview
When you leave UTC you will no longer have access to certain accounts and services provided by the University. The grace periods differ depending on your role and affiliation with the university. If you’ve had more than one affiliation during your time at UTC, this article applies to your final status.
Please note that this article is not comprehensive. If you have any questions about access to specific systems and services, contact the IT Helpdesk at 423-425-4000, or by submitting a ticket here.
Access Grace Periods:
- Faculty, Staff, and Retirees: Grace period is 30 days after their Left UT Date, which is determined by the termination date in DASH.
- Students: Grace period is 365 days after their Left UT Date, which is determined by graduation or the end of the last term attended.

University Proprietary Data: Any files containing proprietary university data or sensitive information should remain within the institution’s secure systems. These files should not be moved to personal devices and should only be shared through appropriate channels.

Faculty and Staff
UTC Email and Microsoft Office 365
Your access to Microsoft Office desktop applications will end on your last day of employment (Left UT date). You will retain access to web applications (portal.office.com) for 30 days after your last day.
- We recommend setting an out of office message before you leave to direct others to your department or your personal email.
- Any files stored in your personal OneDrive or Microsoft Forms that your Department may need should be transferred to a Departmental Sharepoint drive before your departure date. Files shared from your personal OneDrive will no longer be available once your account access ends.
- Alert any contacts of your new personal email address or who to contact for UTC operations.
- Update any online accounts that you have created that have your UTC email address.
Google
If you have not attended UTC as student in the last year, access to your Google account will end on your last day of employment (Left UT date). Students retain access to Google for 365 days after leaving UTC.
Zoom
Access to the Zoom license account will end on your last day of employment (Left UT date).
Student Information Systems (Banner, Argos, Canvas, etc)
You will lose access to student information systems on your last day of employment (Left UT date).
DASH
You keep access to DASH for the purpose of accessing pay stubs and tax forms until December 31 of the year following your separation from UTC. If you need to access your payroll information after you lose your account access, contact the Human Resources department . Any elevated access you had will end on your last day of employment (Left UT date).
Qualtrics
Access to Qualtrics will end on your last day of employment (Left UT date). Please transfer ownership of any active surveys to a colleague before your last day.
Adobe
Your Adobe Creative Cloud subscription will end on your last date of employment and all files stored in Adobe Cloud with be deleted. Per Adobe's licensing policy, Adobe Creative Cloud licenses are only available for active Faculty, Staff, and Students. Once your status changes, software and file access is immediately terminated.
Students/Alumni
MocsMail+ and Google
You will retain access to your MocsMail+ and Google account for 12 months after you leave UTC. For more information on this Summer 2023 change in email expiration, visit HERE.

Microsoft Office 365
You will retain access to Office 365 OneDrive and other Office 365 online apps for 12 months after you leave UTC. At the end of this period, you will lose access to the files stored in your UTC OneDrive and Microsoft will delete the files. We recommend backing up and transferring your files to another third-party service.
Access to the desktop O365 applications will end once you are no longer enrolled at UTC (Left UT date).
MyMocsNet
You will retain access to MyMocsNet for 12 months after you leave UTC. However, your access level will change once you are no longer enrolled in classes. Click here to request your transcripts.
Zoom
Access to the Zoom Pro license account will end once you are no longer enrolled at UTC (Left UT date).
Canvas
Access to canvas will be kept for 12 months after you leave UTC (Left UT date), however classes will no longer be visible past graduation.
Adobe
Access to Adobe ends on your last day at UTC (Left UT date). We do not recommend storing files in Adobe.
Handshake
Once you graduate from UTC, you may request to convert your HandShake Career account over to a personal address by completing the following form https://forms.office.com/r/rUfQcqey04 .
Affiliates
All affiliate services will be deactivated once the departure date listed by the sponsor has passed. Please contact your sponsor to have your account re-enabled as necessary. More information about sponsoring accounts here.
