UTC will be transitioning to Microsoft as the primary university-wide platform for collaboration and productivity tools, reducing the use of Google services on campus. This change aims to provide a consistent experience, enhance security and privacy, and manage costs more effectively.
How to Prepare
This change will take time, but you can begin preparing for the transition now by taking the following steps:
- October 2025 – August 2026
- Use Microsoft resources for new projects, initiatives, classwork, and files. We specifically recommend starting to transition classroom related activities to Microsoft 365 to prepare for the Fall 2026 incoming class having Microsoft only accounts. All students are provisioned Microsoft 365 accounts each year and have access to the Office apps, OneDrive, Sharepoint, and teams.
- Identify where you are using Google services in your daily work.
- March 2026 – Transition to using Outlook for all future email and calendaring activities.
- April 2026 - July 2026
- Clean up your Gmail account by deleting old emails that you no longer need.
- Review our FAQ on migrating content from your Google mailbox to Outlook.
- April 2026 – August 2027
- Clean up your Google Drive by deleting files you no longer need.
- Migrate services to O365 for classroom activities where possible.
- Explore using Microsoft 365 services for departmental functions.
Specific Google Services:
We understand that Google provides more than just Gmail and Drive. This means that there may be specific services that are being used by your department that may not have an equivalent service with Microsoft 365. The Information Technology department will be sending out a survey to faculty and department accounts in October 2025 to assist us with evaluating which services may still be needed in Google going forward.
